Job Description

Manage inbound logistics operations including coordinating with logistics companies, receipt of products, inspection, warehousing, and customs clearance. Ensure compliance with all logistics and customs regulations, drive process improvements, manage team performance, and maintain communication with internal teams, suppliers, and customs agencies. Managing the custom clearance agents in different port in Iraq, and the in-land movement of the cargos until delivery to the warehouses, he needs to make sure that the shipments are delivered to the targeted warehouse based on the sales plan and demand


Key Responsibilities

1. Inbound Logistics Management

    • Manage inbound logistics operations and oversee the flow of goods and materials from suppliers to the company.
    • Ensure timely, efficient, and accurate delivery of products to warehouses.

2. Shipment Coordination

    • Coordinate with shipping companies regarding vessel schedules and shipment details.
    • Ensure proper receipt of shipments and align with customs clearance agents and warehouse teams for delivery timelines.

3. Tracking & Reporting

    • Monitor shipment status on a daily and weekly basis.
    • Liaise with shipping companies to obtain shipment updates and reports.
    • Provide regular updates to management and stakeholders on shipment progress, customs status, and clearance issues.

4. Inventory Coordination

    • Collaborate with procurement, inventory, and outbound teams to ensure a smooth and continuous flow of goods.
    • Support stock accuracy and availability through effective coordination.

5. Customs Clearance & Import Procedures

    • Manage end-to-end customs clearance processes for inbound shipments.
    • Prepare and submit all required documentation (e.g., invoices, certificates, Telex release documents).
    • Coordinate with customs brokers, agents, and authorities to ensure timely clearance.

6. Payment Processing

    • Handle payments and invoices related to shipping and customs clearance services.
    • Coordinate with the Finance team to ensure timely processing and settlement of payments.

7. ERP System Management

    • Record port receipts and manage material entries within the ERP system.
    • Verify purchase orders (POs) and ensure accurate system receiving in coordination with the warehouse team.

8. Documentation & Reporting

    • Maintain accurate records of customs declarations, clearance timelines, and cost entries.
    • Prepare daily and weekly reports, including clearance trackers and compliance metrics.

9. Performance Management & Continuous Improvement

    • Monitor KPIs related to material receiving accuracy and logistics performance.
    • Identify opportunities to optimize processes and reduce logistics and clearance costs.
    • Implement improvements to enhance operational efficiency.

Skills & Experience

Education:

  • Bachelor’s degree in supply chain management, Logistics, International Trade, or a related field.
  • Diploma or specialized courses in import/export operations or customs regulations (preferred).

Experience:

  • Minimum 3–5 years of experience in inbound logistics, import/export operations, and customs clearance.
  • Proven experience coordinating with freight forwarders, customs brokers, and regulatory authorities.
  • Familiarity with international shipping documentation and Incoterms.

Skills:

  • Strong knowledge of customs regulations, tariffs, and HS codes.
  • Proficiency in preparing and reviewing shipping and customs documents.
  • Excellent negotiation and vendor management skills.
  • Attention to detail and accuracy in documentation.
  • Strong problem-solving skills and ability to resolve clearance delays.
  • Proficiency in Microsoft Office and ERP/logistics software.

Languages:

  •         Fluent in English (spoken and written).
  •         Proficiency in Arabic (spoken and written).
  •         Preferred to Speak Kurdish.
